Office Manager Book Keeper

In brief:

A Brighton based events company is looking for a bright, dynamic office all-rounder who can keep the books (Sage essential), look after the IT, do sales analysis, administrate staff and office functions. 4 day week ; SALARY UP TO £22K PRO RATA based on record. Experience in events or marine sector an advantage.

Financial Administrator and Book-keeping

Duties include:

• Ensuring that the order numbers are correctly administered
• Event sales, supplementary and commission invoicing.
• Recording all the sales invoicing in three spreadsheets;
 Business Invoiced to date
 Analysis of events taking place during each month
 Analysis of direct costs relating to the event
• Maintaining year on year sales analysis sheet.
• Keeping an accurate record of all events taking place on SB Will
• Checking purchase invoices against quotations with sales staff and amending quotation spreadsheets. Check all invoicing received in full.
• Making sure that all purchase invoices are signed off and that they are correct.

• Monitoring the budgets that have been set
• Credit control
• Input Sales Invoicing on Sage
• Input Purchase Invoicing on Sage
• Correlation of salary information such as net wages, event fees, sales commission payments
• Processing expenses claims are accurate and legitimate
• Annual Returns (P11)d
• VAT returns
• Year End Procedures
• Quarterly stock control


Office Manager

1. IT Support

• Supporting office systems and trouble-shooting problems
• Daily back ups; rotation of the weekly tapes take place, liaise with Weald IT to ensure that the backups are successful
• The set up and amendments for computer systems with supplier support. ie laptop synchronisation, ACT or mobile email devices.
• Solving printer problems.
• We do have an IT computer company who provides remote assistance that helps with these and deals with the more serious problems.



2. HR (Personnel)

• Full diary management relating to lieu time, holidays, sick leave and personal appointments with email confirmations of requests, appointments, sick forms etc
• Updating the Company Handbook

3. Health and Safety

• Updating Health and Safety Policy
• Carrying out risk assessment relating to the office
• Fire Drills
• Maintaining relevant records


PA

• To provide PA support for Directors Mark Tower and Guy Wimpory as and when the need arises
• Audio typing
• Providing Agenda and Minutes for Company Meetings
• Make travel arrangements and assist with expenses.
• Project administration and research support
